The laboratory is at 13564 E. Imperial Hwy, Unit D, in Santa Fe Springs. Samples can be shipped or brought in by hand. Whichever you do, register the sample first so it is logged the moment it reaches the bench and you hold a record of what you sent.

If you are driving a sample over, call (562) 404-9955 before you set off, so somebody is expecting it and it is logged on arrival rather than riding around in a van for the rest of the afternoon.

02Getting the sample here

Sending one, or delivering one

Both are normal. The difference is not the testing — it is who is responsible for the sample while it is in motion, and how much of the paperwork has to travel with it.

Sending a sample

  1. Step 01Register the sample before it travels. That is what puts a record on our side and on yours before anything is in a courier’s hands.
  2. Step 02Take the sample to the published procedure, and put the completed form in the box with it — not in a separate envelope, and not emailed afterwards.
  3. Step 03Address it to Unit D. A parcel that reaches the building without a unit on it reaches the wrong tenant first.
  4. Step 04A filled refrigerant sample cylinder is a charged pressure vessel. How it is permitted to travel is your carrier’s dangerous-goods rules to state, so confirm them with the carrier before you book the collection.

Delivering one by hand

  1. Step 01Register it first, exactly as you would for a shipment. Same record, same reference, no retyping at the counter.
  2. Step 02Call ahead on (562) 404-9955 so the sample is received and logged rather than left standing.
  3. Step 03Come to Unit D and hand it over in person, with the paperwork. Chiller Services Refrigerants occupies the adjacent unit of the same building — if you find yourself at their counter you are one door away, not lost.

Chiller Services Refrigerants is a refrigerant reclaimer under common ownership with this laboratory, in the neighbouring unit. We say so wherever it comes up rather than hoping you do not notice the signage. How the two are kept apart.

03What to include

What has to arrive with the sample

None of this is administrative box-ticking. Each line below changes what can physically be measured, or which limit the result is read against — a sample that arrives without them cannot be started, only queried.

With a refrigerant sample

What to include with a refrigerant sample, and why each item matters

The refrigerant designationThe limits are per refrigerant, not one generic column: the water limit alone takes 4 different values across the single-component table, and 6 of those fluids carry no non-condensables limit at all. All of them are published.
Which edition you are being judged against40 CFR 82 subpart F, Appendix A is the binding text for Section 608 work; AHRI 700-2019 and AHRI 700-2024 differ from it and from each other. Tell us which one the job answers to and we report against that one.
The source temperature when you drew the sampleThe non-condensables limit is defined as % by volume @ 25.0 °C, so the temperature of the source at sampling time is part of the record, not a nicety.
A separate vapour-phase sample, where non-condensables applyNon-condensables are the one vapor-phase characteristic; every other line is liquid phase. One liquid cylinder cannot answer both. If your fluid is exempt in the edition that applies, you need only the one.
The completed form from the kit, inside the boxIt ties the cylinder to the system it came from. A cylinder that arrives with nothing written down is a cylinder we have to phone you about before anything can start.

With an oil sample

What to include with a refrigeration oil sample, and why each item matters

The oil typeCondition and wear analysis for chiller and refrigeration compressor oil — mineral, alkylbenzene, POE and PVE.
The compressor and system it came fromMachine, refrigerant charge, and what prompted the sample — a routine interval, a suspected burnout, or a change of oil. Condition analysis is read against what the machine has been doing.
A degassed sample in the supplied bottleBorosilicate graduated glass sample bottle, degassed before it is sealed. Dissolved refrigerant coming out of solution in transit changes what arrives.
Prompt despatchPOE and Solest oils absorb moisture quickly, even in a sealed bottle. Send samples promptly.

Oil is a separate service and a separate sample. The AHRI Refrigerant Testing Laboratory certification covers refrigerant testing; it carries no oil scope, and we do not present it as though it does. The oil sampling procedure.

04Where to point a question

An existing result, or something new

Both arrive at the same number and the same inbox. What differs is what you should have in front of you before you make contact.

A result we have already issued

Reply on the report

The fastest route is a reply on the same email thread the report arrived on — it carries the reference and the attachment with it. Starting fresh instead? Quote three things:

  • The report reference, exactly as it is printed
  • The refrigerant or oil type it covers
  • The date you received it, and which line you are querying

If the query is that a value sits close to a limit, all 5decision rules were published before your sample was drawn — among them “A result equal to the limit passes” and “Non-condensables are not always required”. Read them before you call, and the conversation starts from the same page.
